AI assistance terms

Last updated 1 November 2026

These terms apply when you use AI writing assistance in Retinote. They form part of our Terms of Service and should be read with our Privacy Policy.

1. What AI assistance does

AI assistance is optional. When you ask it to, it drafts a reflection on a CPD activity or learning goal, or suggests a learning goal based on a CPD activity. It only runs when you choose to use it.

2. What information is sent

When you use AI assistance, we send the details of the activity or goal you are working on, and anything linked to it, to our AI provider:

  • for a CPD activity: its title, provider, activity type, CPD type, date, hours, domain, location, whether it was online or therapeutic, details, notes and learning objective;
  • for a learning goal: its title, description, category and priority;
  • any goals or activities linked to it: for linked goals, their title, category and priority; for linked activities, the same details as above, including details and notes.

We do not send your name, email address or registration number. We send only what is needed for the request you make.

3. Who processes it

  • Our AI provider is OpenAI, which processes this information in the United States.
  • OpenAI does not use information sent through our account to train its models. It may keep it for up to 30 days to monitor for abuse, after which it is deleted.
  • Retinote does not store the information sent for generation beyond the activity or goal itself and any draft you choose to save. We record usage information, such as the amount of text processed, to run and improve the service.

4. Your responsibilities

  • Do not include patient names or any information that could identify a patient, and do not include sensitive health information about any person, in activities, goals or notes you use with AI assistance.
  • AI-generated text is guidance to help you get started, not a finished reflection. Under the Optometry Board of Australia's CPD registration standard, you are responsible for reflecting on your own learning and how it applies to your practice. If your CPD is audited, your records need to genuinely reflect that.
  • Review, edit and verify any AI-generated content before you save or submit it. You are responsible for everything you record or submit to AHPRA or any other body.

5. Accuracy

  • AI-generated content can be inaccurate, incomplete or inappropriate for your circumstances. It is provided as a drafting aid only.
  • To the extent permitted by law, Retinote does not guarantee that AI-generated content is accurate or meets any regulatory requirement, and is not liable for any loss arising from your use of it.
  • Nothing in these terms excludes rights you have under the Australian Consumer Law.

6. Turning it off

  • You can turn AI assistance off at any time in Profile → Privacy & AI. Turning it off stops any further information being sent to our AI provider.
  • It does not delete drafts you have already saved; those are part of your records and you can edit or delete them as usual.

7. Changes to these terms

If we change how AI assistance works or these terms, we will ask for your consent again before you next use it.
